Core Return & Refund Policy
This Core Return & Refund Policy explains the requirements, procedures, and conditions for returning a core to Engines Factory and processing any applicable core refund. Please review the information below before preparing your core for return.
CORE RETURN & REFUND POLICY
1. Definitions
For purposes of this Policy:
“Seller” means Engines Factory.
“Core” means the actual used engine or component being replaced by the replacement unit purchased by the Customer.
“Core Charge” means the refundable Core deposit collected in connection with the sale, subject to the requirements, inspections, conditions, and deductions described in this Policy.
“Customer” means the purchaser of the replacement engine or component.
“Core Department” means the department responsible for physically inspecting the returned Core and determining Core condition and refund eligibility.
“Return Authorization” means approval from the Seller authorizing the Core return and arranging the applicable pickup and return-shipping process.
2. Core Return Request and 30-Day Requirement
The Customer is responsible for completing and submitting the Core Return Form within thirty (30) calendar days from the delivery date of the replacement unit.
If the Customer submits the Core Return Form within the 30-day period, the return will be considered timely.
If carrier availability or scheduling causes the actual pickup to occur after the 30-day period, the Customer will not be considered late provided the Core Return Form was submitted within the required timeframe.
All Core pickups must be arranged through the Seller.
3. Late Core Returns
A Core Return Form submitted within thirty (30) calendar days from the delivery date remains eligible for the normal Core refund, subject to inspection and all applicable deductions under this Policy.
If the Core Return Form is submitted after thirty (30) calendar days but no later than forty-five (45) calendar days from the delivery date, fifty percent (50%) of the Core Charge will automatically be forfeited. The remaining fifty percent (50%) may remain eligible for refund, subject to physical inspection and all applicable freight, crate, carrier, account, and other deductions.
After forty-five (45) calendar days from the delivery date, the Core Charge is fully forfeited and no Core refund will be due.
If the Customer submitted the Core Return Form within the original 30-day period, a carrier pickup occurring after day 30 because of scheduling or carrier availability will not trigger a late-return penalty.
4. Return Authorization and Unauthorized Returns
All Core returns must follow the Seller’s authorized Core Return process.
The Customer may not independently arrange or ship a Core without authorization from the Seller.
Unauthorized Core returns, self-arranged shipments, or shipments that do not follow the Seller’s approved pickup and return instructions will not be accepted.
The Customer must follow all pickup, shipping, and labeling instructions provided with the Core Return authorization.
5. Required Core — No Substitutions
The Customer must return the actual Core removed from the vehicle or equipment for which the replacement unit was purchased.
A different Core will not be accepted, even if it appears similar or belongs to the same engine family, type, or application.
The Core may not be exchanged, substituted, or replaced with another engine or component.
A wrong, substituted, or non-matching Core will be rejected and will result in 100% forfeiture of the Core Charge.
6. Core Completeness
The Core must be returned in the same complete configuration as the replacement unit supplied.
The Customer must return the complete Core — no additional components and no missing components.
Parts may not be removed, exchanged, substituted, or added.
An incomplete, stripped, altered, or substituted Core is unacceptable and will be subject to rejection.
7. Core Condition and Rejection
Core condition and refund eligibility are determined after physical inspection by the Core Department.
A Core is unacceptable and may be rejected if any of the following conditions are present:
• The engine is locked or seized.
• The engine cannot rotate a full 360 degrees.
• Cracks are present in the engine block, cylinder head, or other major casting.
• Holes or significant structural damage are present.
• The crankshaft, connecting rods, camshaft, valve train, or other major internal components are broken or severely damaged.
• Required components are missing.
• The Core has been disassembled or stripped.
• The returned Core does not match the engine or component being replaced.
• Parts have been substituted or exchanged.
• The Core has been altered or improperly modified.
• Excessive rust or corrosion is present, including deterioration caused by prolonged outdoor exposure, improper storage, rain, snow, weather exposure, or similar conditions affecting the condition or rebuildability of the Core.
• Damage caused by dropping, improper lifting, improper handling, or similar physical damage makes the Core unacceptable or non-rebuildable.
• The Core otherwise fails to meet the requirements of this Policy.
A Core rejected by the Core Department results in 100% forfeiture of the Core Charge.
No partial Core refund will be issued for a rejected Core.
8. Fluids Must Be Completely Drained
All fluids must be completely drained from the Core before pickup.
This includes, as applicable, engine oil, coolant, fuel, transmission fluid, and any other fluids contained in the returned unit.
A Core containing fluids is not properly prepared or acceptable for transportation and may be refused for pickup or rejected.
The Customer is responsible for ensuring that the Core is completely drained before the authorized carrier arrives.
9. Original Crate Requirement
The original crate supplied with the replacement unit must be returned with the Core.
The original crate may not be exchanged or substituted with a different crate, pallet, skid, or container.
If the original crate:
• is not returned;
• is replaced or substituted with another crate, pallet, skid, or container; or
• is returned damaged to the point that it is no longer reusable,
the applicable crate charge will be deducted from the Core refund:
Wood Crate — $250
Plastic Container Crate — $350
Metal Crate — $500
Minor damage that does not prevent the original crate from being safely reused will not result in a crate charge.
10. Customer Responsibility for Handling and Pickup
The Customer is responsible for ensuring that appropriate equipment and qualified personnel are available for the safe handling and loading of the Core.
The Customer is responsible for preventing damage caused by dropping, dragging, tipping, improper lifting, improper loading, or other improper handling of the Core or original crate.
The Customer is responsible for accurately indicating on the Core Return Form whether liftgate service is required.
If liftgate service is needed, the Customer must request it on the Core Return Form.
The Customer must provide accurate pickup information, including whether the location is residential or commercial, hours of operation, pickup availability, number of pallets or skids, access information, and any other information necessary to arrange the pickup.
11. Return Labels and Shipping Instructions
The Customer must use the return labels and shipping documents provided by the Seller.
All required return labels must be attached according to the instructions provided in the Core Return email.
The Customer is responsible for following all labeling, preparation, and pickup instructions before the authorized carrier arrives.
Failure to properly label or prepare the Core may result in a failed pickup, additional carrier charges, rescheduling, or other delays.
12. Core Return Freight
Core-return freight is separate from standard outbound shipping.
The Seller arranges the authorized Core return pickup.
The standard Core-return freight charges are:
Gas-Engine Core Return — $300
Diesel-Engine Core Return — $500
The applicable Core-return freight charge will be deducted from the Customer’s Core refund.
Any additional carrier charges associated with the Core return may also be deducted from the Core refund, including applicable charges for:
• Liftgate service;
• Residential service;
• Missed or unsuccessful pickup;
• Additional pickup attempts;
• Rescheduling caused by inaccurate or incomplete Customer information; and
• Other additional carrier charges associated with the Core return.
13. Damage During Return Transportation
The Customer is responsible for properly draining, preparing, securing, labeling, and loading the Core and original crate for pickup.
Once a properly prepared Core has been accepted and picked up by the Seller’s authorized carrier, the Customer will not be responsible for damage caused solely by the carrier during return transportation.
The Customer remains responsible for damage resulting from improper preparation, packaging, securing, loading, handling, draining, or other conditions existing before the authorized carrier takes possession of the shipment.
14. Deductions From the Core Refund
Before any Core refund is issued, all applicable amounts due on the same order will be deducted from the Core Charge.
Applicable deductions may include:
• Core-return freight charges;
• Additional carrier charges;
• Applicable original-crate charges; and
• Any other outstanding unpaid balance due on the same order.
Any remaining eligible Core balance will be refunded after the Core is received and approved following physical inspection by the Core Department.
15. Refund Method
An approved Core refund may be issued to the applicable payment card or by ACH.
If an ACH refund is requested or required, the Customer must provide the banking information necessary to process the refund through the Seller’s designated secure process.
Additional posting or processing time after a refund is issued may depend on the Customer’s bank, card issuer, or financial institution.
16. Core Return Processing Time
The Core return process may take up to thirty-five (35) business days from the date the Core is picked up by the authorized carrier.
This timeframe includes return transit, receiving, inspection by the Core Department, and refund processing.
Business days exclude weekends and federal holidays. Carrier schedules, holiday closures, and extended holiday weekends may affect transit and processing times.
Once a refund has been issued, additional posting time may depend on the Customer’s bank, card issuer, or financial institution.
17. Rejected Cores
If a Core is rejected following physical inspection by the Core Department, no Core refund will be due.
The Customer may request return of the rejected Core at the Customer’s own expense.
The Customer must arrange and pay for return transportation of the rejected Core within five (5) calendar days after being notified of the rejection.
If the Customer does not arrange the return within the five-day period, the Seller may dispose of or recycle the rejected Core without further obligation to store or return it.
18. Limitation of Liability
To the maximum extent permitted by applicable law, the Seller will not be liable for incidental, indirect, special, or consequential damages arising from or related to the Core return process.
Any liability of the Seller relating specifically to a Core return, if any, will not exceed the amount of the applicable Core Charge paid by the Customer, except where a different limitation is required by applicable law.
19. Right to Modify Policy
The Seller reserves the right to revise, amend, update, or modify this Core Return & Refund Policy at any time without prior authorization from the Customer, except where notice is required by applicable law.
The version of the Policy in effect at the time of the applicable sale will govern that transaction.
20. Acceptance of Terms
By purchasing a replacement engine or component subject to a Core Charge and by submitting a Core Return Form, the Customer acknowledges that the Customer has had the opportunity to review this Core Return & Refund Policy and agrees to comply with its requirements.
Submission of the Core Return Form constitutes acknowledgment and acceptance of the applicable Core return requirements, charges, deductions, inspection standards, deadlines, and conditions described in this Policy.
